Location Requirement: This position is eligible to work a hybrid schedule from the Des Moines Metro Area.
Resolves tenant inquiries through prioritization and escalation process. Handles property management work order requests and serves as a point of escalation. Creates, implements, and maintains a switchboard, accounts payable, and work order training program. Supports property management functional financial credit/debit entries and manages supplier invoices, processes payments, and tracks receivables. Develops and implements a property management data matrix. Develops a summary report for work orders and accounts payable.
Essential Functions:
Resolves tenant inquiries through prioritization and escalation process.
Handles property management work order requests and serves as a point of escalation.
Sends notices, reminders, and updates to tenants regarding policies, events, and maintenance schedules
Answers incoming switchboard calls for internal and external customers and routes to correct areas within the company to ensure accurate transfer rates.
Provides process improvement feedback to leader to support continuous improvement
Creates, implements, and maintains a switchboard, accounts payable, and work order training program for Administrative Services Associates.
Maintains a centralized source of information for service level agreements and procedures
Continuously reviews relevant data to ensure training program accuracy and efficiency
Supports property management functional financial credit/debit entries and manages supplier invoices, processes payments, and tracks receivables
Prepares a work schedule for the administrative services team.
Provides backup for answering tenant emails and phone calls as needed
Provides administrative support to facilities leaders to ensure effective communication
Develops and implements a property management data matrix with predetermined parameters for team utilization.
Analyzes the various software utilized by the department and assess the breakdown analytics.
Investigates how property management data analytics drives and changes our training and business process
Develops a summary report for work orders and accounts payable for data accuracy
Investigates call recording and audits transfer rate accuracy.
Establishes KPI's and/or metrics that connect to the department and company goals
Develops new or adjusts existing switchboard processes for region support
Education & Experience:
High school diploma or equivalency
Four years of customer service, facilities or office support, or related experience
Prior experience with accounts payable and accounts receivable preferred
Experience or training in facility management preferred
Bachelor’s degree may be considered in lieu of some of the experience requirement
Knowledge, Skills, & Abilities:
Good knowledge of insurance business process and administrative functions preferred
Good computer skills, including Word and Excel
Knowledge of building automation, CMMS Software preferred
Excellent customer service
Excellent written and verbal communication
Ability to handle difficult conversations and de-escalate upset callers
Accurate data entry skills
Excellent organization skills
Ability to multi-task and handle interruptions
The hiring salary range for this position will vary based on geographic location, falling within either the $50,073.00 - $68,995.00 range or the $55,191.00 - $76,061.00 range. A hiring range represents a subset of the full salary range. The actual salary will depend on several factors, including relevant education, skills, and experience of an applicant, geographic location, and business needs.
