Job Summary

The RFP Consultant is responsible for coordinating and responding to request for proposal (RFPs), requests for information (RFIs) and related questionnaires by interpreting client and broker requirements and developing accurate, timely and well-positioned responses. Acting as a project coordinator for each proposal, this role ensures all deliverables are completed in accordance with established timelines, quality standard and business objectives. Additionally, the Senior RFP Coordinator is responsible for review of RFPs handled by the RFP Coordinator.

This role partners closely with leadership, sales and service personnel, product teams, marketing and subject matter experts (SMEs) across the organization to gather information and develop compelling proposal responses. This role also supports the maintenance of the RFP content database by identifying content to be updated and collaborating with SMEs to ensure information remains current and accurate.

Success in this role requires strong organizations skills, attention to detail, effective communication, and the ability to manage multiple concurrent projects while maintaining a high level of quality and responsiveness.

Primary duties may include, but are not limited to:

• Respond to requests for proposals (RFPs), requests for information (RFIs) and due diligence questionnaires, and other sales support inquiries for proposals for new and existing clients.
• Coordinate proposal development activities by gathering, organizing and synthesizing information from various internal resources including the RFP content database, product managers, marketing teams and SMEs.
• Develop clear, accurate, and tailored responses that effectively communicate the organization's products, services, capabilities and value proposition.
• Manage proposal timelines and project milestones to ensure all deliverables are completed accurately and submitted on time.
• Collaborate with distribution partners to understand opportunity requirements and position responses appropriately.
• Identify content gaps, outdated information and opportunities for enhancements within the RFP content database and collaborate with SMEs to update as needed.
• Participate in internal meetings and discussions to stay informed of product, process, compliance and service updates that may impact proposals.
• Ensure proposal responses comply with organizational standards, branding guidelines and quality expectations
• Research and escalate complex questions to appropriate SMEs to obtain accurate and complete information.
• Assist in maintaining documentation, process, and best practices related to proposal development and content management.
• Support process improvement initiatives designed to enhance proposal quality, operational efficiency and database accuracy.
• Respond to ad hoc requests and inquiries from sales, service, and business partners related to proposal content and capabilities.

Required Work/Education Experience:

• Bachelor's degree in Business, Communications, Marketing or related filed; or equivalent work experience.
• 4-6 years of experience in proposal management, RFP response support, client service, marketing or a related field.
• 4+ years minimum work experience. Relevant industry and/or RFP experience is preferred.

Recommended Work/Education Experience:

• Experience working with proposal management or content management systems.
• Knowledge of financial services, insurance or related industries.

Salary Band:  05A

This selected candidate will be expected to work fully remote. The candidate will also be expected to physically return to the office in CA, IN or ME as business needs dictate or for team building and collaboration.

Consistent with applicable pay transparency laws, we disclose the compensation range for this position: $66,000 - $110,000 annually. Actual compensation will be determined by factors such as education, experience, geographical location, and other job-related factors permitted by law. In addition to base pay, this role is eligible for an annual incentive program.
