Job Summary:

We are seeking a sharp, resourceful, and tech-savvy Litigation Paralegal who thrives in a fast-paced environment and wants to be part of a legal team tackling disputes in a dynamic, cutting-edge business environment headquartered in Grand Rapids, Michigan. This role will support the administration of the third-party subpoena docket, which requires tracking, coordinating and analyzing a high volume of subpoenas company wide. A key focus of this role is utilizing artificial intelligence tools, including Harvey AI, to assist with litigation workflows, legal research, and drafting activities under attorney direction.

The Litigation Paralegal will also provide essential day-to-day support to litigation attorneys in employment law, insurance defense, and general litigation matters, including document and evidence gathering, AI-assisted research and drafting, reporting, settlement payment processing, and tracking updates on all litigation matters. The ideal candidate will demonstrate strong organizational and communication skills and a solid understanding of legal procedures.

Responsibilities:

• Subpoena and Falsified Certificate of Insurance Management:
  • Receive, review and log incoming subpoenas and related legal documents.
  • Evaluate subpoenas for basic compliance with applicable laws and regulations.
  • Coordinate with internal departments and external parties to gather documents and information in response to subpoenas.
  • Review gathered documents for privileged content and redact as necessary.
  • Track the status of subpoenas and ensure all deadlines are met, requesting extensions when necessary.
  • Prepare and send appropriate responses or objections as required.
  • Interface with internal and external parties and escalate issues as appropriate.
  • Collaborate with outside counsel in responding to high-priority subpoenas, including those from government agencies.
  • Assist in-house litigation counsel with internal investigations regarding Falsified Certificates of Insurance claims.

• Litigation Support & Legal Technology:
  • Support the Litigation Team’s AI integration initiatives in its litigation management processes, designed to increase efficiency and reduce outside counsel costs.
  • Assist attorneys with Early Case Assessment activities by leveraging AI-powered platforms — including Harvey AI — to expedite issue-spotting, timeline construction, and risk evaluation.
  • Utilize Harvey AI and other generative AI tools to assist with legal research, including identifying relevant case law, statutes, and regulatory guidance.
  • Draft, edit, and refine litigation documents—such as demand letters, discovery responses, motions, and settlement correspondence—using AI-assisted drafting and editing tools to improve quality, consistency, and turnaround time.
  • Employ AI-driven document review and analysis tools to support document review projects, privilege screening, and contract analysis.
  • Leverage AI tools to synthesize case facts, generate case summaries, and prepare briefing materials for attorney review.
  • Utilize established AI tools and workflows to support litigation matters efficiently.
  • Support the RFP process for retaining outside counsel through use of Persuit and other platforms.
  • Monitor the CSC database for service of legal documents, such as summonses, subpoenas, and notices, on the company and coordinate with appropriate individuals to ensure timely response.
  • Maintain organized digital case files using legal case management platforms and ensure accurate, real-time tracking of updates across all matters.
  • Coordinate with external legal counsel and internal clients.

• Document and Evidence Gathering:
  • Coordinate document collection efforts from agency partners, internal departments, and IT (including email searches).
  • Coordinate with external vendors and internal stakeholders regarding IT forensics and electronic discovery activities.
  • Ensure accurate collection, preservation, and production of electronic evidence.

• Data Management, Reporting, and Administrative Support:
  • Maintain accurate records of lawsuits and legal documentation utilizing legal software (e.g., Team Connect).
  • Generate reports, presentations, and materials for management review.
  • Process settlement payments and coordinate with Accounting as needed.
  • Schedule meetings and appointments with internal clients and outside counsel.
  • Review invoices and timekeeping submissions by outside counsel.
  • Draft, edit, and format legal documents and correspondence as directed by attorneys, utilizing AI-assisted drafting tools where appropriate to enhance accuracy and efficiency.

• Stakeholder Communication:
  • Interface with internal business clients, external parties, outside counsel, and vendors to facilitate communication.
  • Provide excellent customer service by addressing inquiries and requests professionally and promptly.
  • Coordinate with agency partners and issuing counsel on subpoena-related matters.

Requirements

Required Qualifications

  • Collaborative team player with the ability to exercise independent thinking and sound judgment.
  • Proficiency in Microsoft Office Suite, legal research tools (e.g., Westlaw, LexisNexis), litigation management platforms, and AI-powered technology tools (e.g., Harvey AI, Copilot).

Education and Experience:

Required Qualifications

• • Bachelor’s degree in Paralegal Studies, Legal Studies, or a related field; paralegal certification (e.g., NALA CP, NFPA RP) is a plus.
  • Prior experience as a legal assistant, paralegal, or related role in the legal field is strongly preferred.
  • Experience with law department case management systems and litigation reporting.
  • Experience using AI-powered legal tools or platforms for research, drafting, or document review is highly desirable.

Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
