Job Summary
The Facility Assistant Manager works under the supervision of and is responsible for assisting the Facility Manager in the operation and maintenance of commercial office Facilities. Tasks include the resolution of Facilities maintenance issues, addressing safety and operational matters in a timely manner, the scheduling of work and services, and record keeping necessary to the proper functioning of the property.
Job Responsibilities:
- In coordination with the Facility Manager, acts as liaison between Facilities occupants/tenants and Facility Manager for work requests and to identify and resolve problems in a timely and courteous manner. The Assistant Manager reviews tenant/occupant requests with respect to the lease obligations and generates the work orders for the completion of the tasks in accordance with established procedures.
- Monitors and maintains physical management of the structures, equipment and outdoor areas of the Facilities, including electrical, plumbing, roof, walls and appliances.
- Writes work orders for Maintenance Mechanics based on information from Facilities Manager and approved requests from occupants/tenants.
- Drafts memos and/or makes calls to occupants/tenants related to Facilities issues and preventive maintenance scheduling within their space(s).
- Schedules and participates in 24-hr emergency coverage in the Facilities in order to protect personnel, equipment and property.
- Assists in the establishment, implementation and monitoring of a workplace safety program in the Facilities.
- Assists the Facility Manager in the preparation of a schedule for preventative maintenance, capital repairs and replacements of non-serviceable equipment.
- Keeps abreast of changes to internal occupant space assignments, updating records as necessary and reporting all changes on a monthly basis to the Facility Manager.
- Meets regularly with the Facility Manager to review procedures and discuss problems or concerns related to the Facilities.
- Assists the Facility Manager with administering suite occupancy. This includes providing introductory letters regarding emergency contacts and emergency evacuation procedures.
- Assists the Facility Manager with “move in/out” projects as required.
- Assists the Facility Manager overseeing the bidding and implementation of tenant improvement and capital improvement projects on the property.
- Performs inspections of snow removal, landscaping, janitorial, rubbish & maintenance/repairs on the Facilities grounds in accordance with the contracts in place.
- Develops and maintains positive relationships with repair vendors and Facilities contractors.
ADDITIONAL ACCOUNTABILITIES
- Performs special projects, and additional duties and responsibilities as required.
- Consistently adheres to regulatory and compliance policies and standards linked to the job as listed and complete required compliance training. Accountable to maintain compliance with applicable federal, state and local laws and regulations.
JOB REQUIREMENTS
- Education level required: High School / High School Equivalency (GED, HiSET, TASC) / Foreign Equivalent
- Minimum experience required: 4+ Years in Facilities or real estate operations.
- Experience in administrative office practices and procedures.
- Experience in coordinating and scheduling required.
Preferred Qualifications:
- Experience with value pricing and proposal comparisons a plus.

- Knowledge of safety procedures as related to Facilities management functions.
- Knowledge of Facilities structures and general facilities maintenance.
- Strong verbal, written and interpersonal communication skills.
- PC literate with proficiency in Microsoft Office, Word, Excel, Outlook.

Pay Range
$29.32 - $46.66
