Job Summary

The Senior Commercial Loan Operations Administrator plays a key clerical and administrative support role within the Commercial Loan Operations team. This position is responsible for managing loan documentation, preparing physical and digital loan files, coordinating document imaging, and supporting the overall workflow of the department. Unlike system-facing associates, this role does not require loan system entry but is critical in ensuring that the documentation and compliance components of commercial loans are well-organized and audit-ready.

 

Job Responsibilities:

  • Prepare, organize, and maintain physical and electronic loan files in accordance with internal policies and regulatory guidelines.
  • Review loan documentation for completeness and file accuracy prior to imaging or record retention.
  • Coordinate document scanning, indexing, and quality assurance with internal systems or third-party vendors.
  • Track receipt of executed loan documents and supporting materials from internal teams and external parties.
  • Maintain and monitor loan file checklists and exception reports to ensure timely resolution of outstanding documentation.
  • Support post-closing documentation tasks such as filing UCCs, scanning titles, or verifying recorded documents.
  • Respond to internal documentation requests or audits by retrieving and providing necessary materials..
  • Assist with mailroom coordination, file archiving, and secure destruction of aged physical loan records as needed.
  • Collaborate with associates and managers to ensure operational continuity and support departmental workflow.

ADDITIONAL ACCOUNTABILITIES

  • Performs special projects, and additional duties and responsibilities as required.
  • Consistently adheres to regulatory and compliance policies and standards linked to the job as listed and complete required compliance trainings.  Accountable to maintain compliance with applicable federal, state and local laws and regulations.

JOB REQUIREMENTS

Required Qualifications:

  • Education level required: High School / High School Equivalency (GED, HiSET, TASC) / Foreign Equivalent; or equivalent combination of education and experience.
  • Minimum experience required: 6+ Years experience in a large commercial bank or related financial institution.

Preferred Qualifications:

  • Education level preferred: Undergraduate Degree (4 years or equivalent) (Business, Finance, Accounting, or related field)
  • Experience with loan syndications, participations, and intercompany transactions.

Job Competencies:

  • Proficient in Microsoft Excel and Word.
  • Strong knowledge of Commercial Loan Servicing. Including knowledge of CRE, C&I, construction, and SBA loan products.
  • Experience using commercial loan systems such as nCino, ACBS, AFSVision, LoanIQ, or similar platforms.
  • Ability to review and interpret loan documents and translate terms into accurate system entries. 
  • Excellent organizational, analytical, and communication skills.
  • Strong interpersonal and communication skills, with a team-first mindset.
  • Demonstrates a strong ability to build and maintain effective relationships with stakeholders by communicating clearly, engaging in proactive collaboration, and leveraging cross functional insights. Aligns relationship building efforts with enterprise goals to accelerate performance and drive strategic results.

  • Physical demands (ADA): The job requires significant physical exertion and stamina such as repeated bending, reaching, climbing, or moderate and frequent lifting.
