NJM's Facility Operations Team is seeking a Business Operations Analyst (Facilities Operations Analyst is the official NJM title) provides financial, administrative, and operational support for the various functional areas within the Facility Operations Department. This position is responsible for budget preparation and tracking, reconciliation of project expenses, contract administration, and coordination of departmental administrative activities. The role also supports Safety & Security and collaborates with various teams in Facility Operations  to ensure efficient processes, accurate financial reporting, and compliance with departmental procedures.

This role is Hybrid and Requires 3 days in the West Trenton, NJ Office.

Essential Duties and Responsibilities:

• Prepare, monitor, and support departmental budgets, including financial reporting, forecasting, expense tracking, and analysis to ensure adherence to budgetary goals and organizational guidelines.
• Reconcile project expenses, review invoices and payment requests, track project costs, and maintain accurate financial records to support Facility Operations initiatives.
• Administer departmental contracts, including maintaining contract records, monitoring expiration and renewal dates, coordinating vendor documentation, and supporting contract compliance activities.
• Assist the Safety & Security team with administrative support functions, including coordinating agendas, materials, meeting logistics, and follow-up activities for quarterly Safety Committee meetings.
• Provide administrative support to various functional areas within Facility Operations as needed, including developing and maintaining Statements of Procedure (SOPs), preparing reports and presentations, maintaining departmental records, and supporting special projects.
• Utilize Workday Financials and other company systems to process transactions, generate reports, and maintain financial and operational data.
• Collaborate with internal stakeholders and external vendors to ensure timely completion of departmental objectives and projects.
• Perform other related duties and special assignments as required.

Required Qualifications:

Knowledge, skills & abilities, experience, minimum & desired education, certification and/or license requirements.

• A Bachelor's degree is required.
• Minimum 3-5 years of experience in financial, administrative, operational support, facilities administration, or a related business environment.
• Advanced proficiency with Microsoft Office applications, particularly Microsoft Excel, including Pivot Tables, formulas, data analysis, and reporting.
• Experience preparing budgets, tracking expenses, reconciling accounts, and maintaining financial records.
• Knowledge of contract administration processes and vendor management practices.
• Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
• Demonstrated ability to maintain confidentiality and handle sensitive business information.

Preferred Qualifications:

• Experience supporting Facilities Operations, Corporate Services, Property Management, Communications, or similar business functions.
• Experience creating and maintaining Statements of Procedure (SOPs), process documentation, and workflow improvements.
• Experience coordinating meetings, committees, and cross-functional initiatives.
• Advanced knowledge of financial reporting and budget management practices.
• Working knowledge of Workday Financials or comparable enterprise financial management systems.
