Executive Assistant & Chief of Staff Support

Job Description

The Executive Assistant will serve as a trusted partner to the Head of Financial Protection & Retirement Solutions (FP&RS), providing a unique blend of executive support, project management, and chief of staff capabilities. In addition to managing executive priorities and day-to-day operations, this individual will partner closely with the FP&RS Strategy team and coordinate activities across the FP&RS Leadership Team to help drive execution of strategic priorities, leadership effectiveness, and organizational alignment.

 

The ideal candidate brings strong business acumen, exceptional organizational skills, sound judgment, and the ability to influence outcomes across a broad network of stakeholders. This role requires a high degree of discretion and professionalism, coupled with the ability to anticipate needs and solve problems proactively.

Key Responsibilities:

 

Executive Support

  • Manage a highly complex and dynamic calendar for the Head of FP&RS, ensuring alignment to strategic priorities and effective use of executive time.
  • Coordinate internal and external meetings, including agendas, logistics, materials, and follow-up actions.
  • Manage travel arrangements, executive expense reporting, and other administrative activities.
  • Prepare presentations, reports, briefing materials, and executive communications.
  • Exercise exceptional judgment, professionalism, discretion, and confidentiality in handling sensitive business matters.

 

Chief of Staff and Project Management

  • Help to coordinate cross-functional initiatives on behalf of the Head of FP&RS, tracking deliverables, milestones, dependencies, risks, and action plans.
  • Partner closely with the FP&RS Strategy team to support strategic planning activities, business reviews, executive priorities, and enterprise initiatives.
  • Establish and maintain project plans, action trackers, and governance routines to ensure business commitments are executed effectively.
  • Facilitate follow-up on leadership decisions and drive accountability for agreed-upon actions across the FP&RS organization.
  • Consolidate updates from multiple teams into concise executive-ready summaries, dashboards, and status reports.
  • Support leadership team meetings by developing agendas, coordinating materials, capturing key decisions, and tracking follow-up actions.
  • Identify opportunities to improve operating efficiency, streamline processes, and enhance organizational effectiveness across FP&RS.
  • Assist in preparing content and logistics for town halls, leadership offsites, Quarterly Business Reviews, leadership meetings, and other executive forums.

You have

 

Required

  • Bachelor’s degree or equivalent experience.
  • 5+ years of experience supporting senior executives, preferably at the executive or C-suite level.
  • Demonstrated experience coordinating projects, programs, or cross-functional initiatives.
  • Strong business judgment and ability to handle highly confidential information with discretion.
  • Exceptional organizational, prioritization, and time management skills.
  • Ability to work independently, anticipate needs, and proactively solve problems.
  • Strong executive presence and ability to build relationships across all levels of an organization.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite, including PowerPoint, Excel, Outlook, Teams, and AI-enabled productivity tools.
  • Experience preparing executive presentations, leadership meeting materials, and business communications.
  • Ability to manage multiple priorities and adapt quickly in a fast-paced environment.

 

Preferred

  • Experience supporting a business unit leader, corporate executive, or general manager.
  • Experience in financial services, insurance, wealth management, or a related industry.
  • Experience leading or coordinating enterprise projects, leadership governance routines, or strategic planning activities.
  • Experience supporting leadership team operations or performing chief of staff responsibilities.

Location/Travel

  • Hybrid role: 3 days in office, 2 days remote.
  • Primary location: Hudson Yards, New York.
  • Occasional travel to company meetings, leadership events, and offsite sessions as needed.

 

Salary Range:

$81,580.00 - $122,365.00

The salary range reflected above is a good faith estimate of base pay for the primary location of the position. The salary for this position ultimately will be determined based on the education, experience, knowledge, and abilities of the successful candidate. In addition to salary, this role may also be eligible for annual, sales, or other incentive compensation.
